Terms & Conditions – Robotics & Computer Classes 2027

Welcome to Trophy Computers & Robotics Group (TCR)!

We are passionate about helping learners develop their creativity, problem-solving skills and confidence through technology and robotics.

Please read the following Terms & Conditions carefully. These guidelines help us maintain a safe, structured and enjoyable learning environment for all our learners.

By registering your child for our classes, you acknowledge and agree to the following terms.

1. Class Fees & Registration

@ TCR venue

  • Annual class fees: R1,250-00 per term (4-term school calendar).

  • The annual fee is divided into four equal payments to make budgeting easier for parents, particularly when school terms vary in length or number of lessons.

  • Registration remains active until written cancellation is received.

@ Fundamental Private School venue

  • Annual Registration fee: R200-00, payable in February.

  • Monthly class fees: R500-00 per month, February to November.

Class fees cover the scheduled robotics lessons for the applicable period.

2. Payment Terms @ TCR venue

Fees are payable according to the following schedule:

Term

Public Schools

Fundamental Private School

Term 1

January

Monthly

Term 2

April

Term 3

July

Term 4

October

Payment Arrangements

We understand that unforeseen financial difficulties can arise. If you are unable to meet the payment deadline, please contact us as soon as possible to discuss alternative arrangements.

For public school learners @ TCR venue, an approved instalment arrangement may be set up as follows:

  • R625 at the beginning of the first month of the term.

  • R625 at the beginning of the second month of the term.

Please note that TCR must approve these arrangements.

If an agreed instalment arrangement is not maintained, payment will revert to the standard upfront payment.

Late Payments

If fees remain unpaid after the applicable payment deadline, a reminder will be sent to the parent or guardian.

Continued non-payment may result in the learner being asked to leave the class until the account is brought up to date or an alternative arrangement is approved.

Please contact us before the payment deadline if you expect any difficulties.

3. Methods of Payment

We accept (at our TCR venue):

  • EFT (Electronic Funds Transfer).

  • Cash paid directly to the class.

Banking details are provided on your account invoices/statements.

Please do not deposit cash directly into a bank or at an ATM.

Bank deposits may incur additional banking charges. Where applicable, these charges will be added to the account balance.

Fundamental Private School will invoice their learners.

4. Refund Policy

Class fees are allocated to the learner's registration and scheduled lessons.

Where a parent or guardian chooses to withdraw from classes, fees already paid are generally non-refundable, including payments made in advance for a term or the year.

Please consider your registration carefully and contact us before making payment if you have any questions about your child's participation.

This policy is subject to applicable consumer-protection legislation.

5. Cancellation & Withdrawal

One calendar month's written notice is required if a learner will no longer attend classes.

Simply ceasing attendance or allowing a learner to remain absent does not constitute cancellation.

Parents or guardians must notify TCR directly to ensure the registration is formally cancelled.

Fees remain payable throughout the applicable notice period.

6. School Calendar & Class Schedule

TCR follows the public school calendar.

  • When public schools are open, our classes follow the scheduled timetable.

  • When public schools are closed, our classes are closed too.

  • No classes are held on public holidays.

  • Our November programme closes on 30 November for staff training.

Any further schedule changes will be communicated to parents or guardians.

7. Safety: Strikes, Riots & Unforeseen Circumstances

The safety of our learners and staff is our top priority.

Robotics classes will not take place if strikes, riots or other safety concerns occur at the school or on the route to the school.

In such circumstances, the affected class will not be available for a catch-up lesson.

Where TCR is unable to hold a scheduled class for reasons other than strikes or riots, we will contact the affected parents to arrange additional lesson time where possible.

8. Absenteeism & Catch-Up Lessons

We understand that learners may occasionally miss a class due to illness, sporting commitments, or unforeseen circumstances.

Learner Absences

Parents or guardians must notify the robotics teacher as soon as possible if a learner is absent.

Subject to availability, TCR may arrange a catch-up lesson on the following conditions:

  • A maximum of one catch-up lesson per term.

  • All class fees must be paid up to date.

  • The absence must be communicated to the teacher.

  • Catch-up lessons are subject to availability and scheduling.

Catch-up lessons are not provided for voluntary holidays, parties, forgotten lessons, or absences without prior notice.

If a learner is absent without prior notice, the lesson will be forfeited.

TCR-Related Absences

If TCR is unable to hold a scheduled lesson for reasons other than strikes or riots, we will contact parents to arrange additional lesson time.

9. Learner Behaviour & Discipline

We aim to provide a positive, respectful and productive learning environment.

All learners are expected to:

  • Treat teachers, staff and fellow learners with respect.

  • Follow instructions and classroom rules.

  • Use robotics equipment, computers and other resources responsibly.

  • Refrain from bullying, foul language, disruptive behaviour and inappropriate conduct.

  • Respect the property and belongings of others.

Disciplinary Procedure

Where a learner displays inappropriate behaviour:

  1. A first incident will result in a written warning being sent home to the parent or guardian.

  2. A second incident may result in suspension from the class.

Serious misconduct, including bullying, theft, aggressive behaviour, or conduct that places others at risk, may require immediate intervention.

If a learner's fees are not paid in accordance with the agreed payment arrangements, a reminder will be issued. Continued non-payment may result in the learner being asked to leave the class.

10. Photography & Media Consent

We occasionally take photos or videos during classes, activities and events to showcase our learners' achievements.

Unless a parent or guardian informs us otherwise in writing, permission will be assumed for TCR to use photographs or videos of their child on our website and on our social media platforms.

We generally aim to use photos in which learners' faces are not clearly visible. However, faces may occasionally appear.

Parents or guardians who do not wish their child's photos or videos to be used must notify TCR in writing.

11. Childcare & Supervision

TCR provides instruction in robotics only during the afternoon classes.

We do not provide childcare, aftercare or supervision outside the scheduled class period.

Parents or guardians remain responsible for ensuring that learners arrive and are collected in line with the agreed class schedule.

12. Parking & Collection – Vanderbijlpark

To ensure the safety of our learners, parents and the surrounding community, please follow the designated parking arrangements.

When dropping off or collecting learners at our Vanderbijlpark venue:

  • Please stop on the kerbs directly in front of our property or across the road.

  • Do not stop in other areas of the road.

  • Do not block driveways or access points.

We appreciate your cooperation in keeping the area safe and accessible.

13. Communication

TCR primarily communicates with parents or guardians by email and WhatsApp.

Communication may include:

  • Class fees and payment reminders.

  • Changes to class times or schedules.

  • Robotics competitions and events.

  • LEGO specials and relevant announcements.

  • General class information.

Please ensure that your contact details remain up to date.

Where more than one parent or guardian is involved in transporting or collecting the learner, please ensure that the relevant information is shared with all responsible parties.

Parents or guardians are responsible for forwarding payment-related information to the account holder.

14. Social Media & Updates

Parents are welcome to follow our social media channels for updates, class activities, photographs and robotics-related information.
